Club Rules

1. That this club be called “The Hazlemere and District Tennis Club”

2. The management of the Club shall be in the hands of the Committee, together with a nominated member of the Hazlemere Parish Council.

3. The Committee, together with the President and the Auditor shall be appointed for the year at the Annual General Meeting which shall be held within six weeks of the end of September each year.

4. An Extraordinary General Meeting may be convened by direction of the Committee, or by an application to the Club Secretary signed by not less than ten senior members, stating the reason for the meeting.

5. At least 14 days notice of the AGM shall be given by the Club Secretary.

6. The Committee shall not exceed 15 members, including the ex-officio members and Club Captains.

7. The Chairman, Vice-Chairman, Club Secretary, Fixtures Secretary, Membership Secretary and Treasurer shall be the ex-officio members of the Committee. Any vacancies during the year shall be dealt with by the Committee who shall be entitled to co-opt such Club Members as is deemed necessary for the efficient running of the Club.

8. A quorum shall consist of 7 members for a Committee Meeting and 15 members for a General Meeting.

9. The membership of the Club shall be open to all residents of Hazlemere and District with the approval of the Committee, on application to the Club Treasurer.

10. Continuing members shall be required to pay their Annual Subscription by 31 May of that year, failing which the Committee may withdraw their membership.

11. The Annual Subscription of the Club and the Visitors’ fees for the forthcoming year shall be recommended by the Committee at their meeting prior to the General Meeting

12. Visitors shall be admitted on application to a member of the Committee and prior payment of the due fee. Visitors’ names shall be entered into the Visitors’ book located in the Clubhouse. Any visitor shall be restricted to six visits in any one year (April to March).

13. A Social non-playing category of membership of the Club may be offered at an annual subscription of £5, subject to the approval of the Committee.

14. Junior members shall have priority:
» On three courts until 18:00 (Mon to Thurs) and until 16:00 on Fridays except from 09:30 to 12:30 on Wednesdays.
» On all courts on Fridays from 16:00 to 19:00 and on three courts from 19:00 to dusk plus one floodlit court until 20:00. On all courts from 09:00 to 12:00 on Saturdays.
» As seniors if approved by the Committee and subject to the playing times as laid down by the Committee.
» At other times if (i) there are insufficient senior members for the courts available or (ii) as allowed by the Club Secretary.

Junior members are those members who are under 16 years of age on 31 December of the current playing season. Senior members under the age of 21 by the same date who are in full time education may pay the junior subscription.

Midweek members are entitled to play on two courts until 18:00 (Mon to Fri) except from 9:30 to 12:30 on Wednesdays and 16:00 to 18:00 on Fridays

15. Members are required to wear white orthodox non-ridged tennis shoes, clothing
appropriate to the game of tennis and proof of membership for the current playing year.
All members are expected to assist the Committee in maintaining a high standard of appearance and behaviour on the courts or premises of the Club.

17. If other members are waiting to play:
i) Singles shall not be played
ii) Only one short set shall be played.

This rule does not apply in the case of recognised Club Tournaments or for courts pre-booked under floodlights

18. Within the junior/senior time allocations, the play priority will be:
1 Club matches
2 Official Club Coaching and Match Practice
3 Internal Club Tournaments (except on match practice nights when only one court will be available and on Friday nights from 19:00 to dusk when only two courts will be available.
4 Other play
This priority may be amended at the discretion of the Committee

19. The last person leaving the courts shall lower the nets, return the club equipment
to the pavilion and leave the premises fully secured.

20. The courts shall be open for play at any time at the discretion of the Club Secretary.

21. It is the duty of the Committee to see that the above rules are enforced.

22. Any proposition concerning a change in the Club Rules shall be placed before the Annual General Meeting where a two-thirds majority shall be required.

23. Two members of the Club shall serve as Trustees of the Club. They will be elected by the Committee at the first Committee meeting following the AGM and will serve for that year. The trustees of the Club shall have the power to borrow money for any purpose which will be for the benefit of the Club and of which the Committee approves.

24.  Additional rules passed at 2006 AGM:

    Objective of the Club: The object of the club is to provide facilities for and promote participation of the whole community in the sport of Tennis.

    Membership statement: Membership of the Club shall be open to all persons irrespective of ethnicity, nationality, sexual orientation, religion or beliefs; or of age, sex or disability except as a necessary consequence of the requirements of Tennis as a particular sport.

    The club may refuse membership or expel from membership only for good and sufficient cause, such as conduct or character likely to bring the club or sport into disrepute. Appeal against such a decision may be made to the Club’s members and decided by a majority vote.

    Not for profit statement: The income and Property of the Club shall be applied solely towards promoting the Club’s objects as set forth in this constitution and no portion thereof shall be paid or transferred, directly or indirectly, to the Members of the Club.

    Dissolution clause: In the event of the dissolution of the Club, any assets remaining after the satisfaction of all debts and liabilities shall not be paid to or distributed among the members of the Club, but shall be given or transferred to one or more of the following sporting or charitable bodies:

      A registered charitable organisation
      Another Club which is a registered CASC
      The sports national governing body for use by them for related community sports.
